1. Our Commitment to Your Privacy

Your privacy is very important to Yarra City Psychology Pty Ltd (YCP). As part of the normal operation of YCP’s website and social media, YCP may collect certain information from you. This privacy policy details what information YCP collects, how it uses that information and what your rights are regarding any information collected by YCP. YCP is subject to certain requirements of applicable Australian law, including the Privacy Act 1988 (Cth) (“Privacy Act”), and strives to meet the requirements of the Australian Privacy Principles.

YCP sustains your right to nondiscrimination with respect to the exercise of your rights under this policy all applicable law.

This Privacy Policy forms part of, and is subject to the provisions of, our Website Use Terms and Conditions (www.yarracitypsychology.com.au).

Please note: this privacy policy refers only to information you provide through our website and/or social media channels. Any information you provide as part of the provision of clinical services is covered by a specific privacy policy which can be accessed through our Practice Manager.

2. Your Information and Your Right to Privacy

You can elect to provide YCP with as much or as little information as you choose although YCP requires a minimum set of information from you in order to provide you with access to YCP’s website. What information you provide is your choice.

YCP will under no circumstances sell, rent, release, disclose, disseminate, make available, transfer or otherwise communicate orally, in writing, or by electronic or other means, your personal information to a third party for monetary or other valuable consideration. YCP has partnerships with commercial organisations and those partners will, from time to time, request that YCP send information to people on YCP database as part of the partnership. Any YCP or partner information is sent by YCP and data is not provided to any third party unless required by law.

YCP may disclose personal information to the following service providers to satisfy standard operating procedures of YCP and YCP has entered into written contracts with those service providers to limit the use of personal information by those service providers to the business purpose of those contracts:

  1. IT and website service providers

  2. Website platforms (currently Wix and Kajabi)

  3. Marketing and communications agencies

  4. Agencies that conduct member surveys on our behalf

  5. Mailing houses

  6. Printers that print and distribute our publications and marketing material

  7. Payment portals including Paypal and Stripe

By using YCP’s website and YCP’s services, you acknowledge and accept that YCP will use your personal information and data as set out in this privacy policy. If you do not accept this privacy policy, please immediately stop using YCP’s website and/or YCP’s services or any part of them. In these circumstances, you will not be able to register or purchase anything further using YCP’s website.

YCP is the controller responsible for your personal information and data. It has appointed a privacy officer who is trained and is responsible for overseeing issues of privacy. This is currently our Practice Manager. If you have any questions about this privacy policy, including requests to exercise your legal rights relating to this policy, please contact the privacy officer at admin@ycp.net.au . Records of your requests will be maintained by YCP.

YCP’s website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share information and data about you. YCP do not control these third-party websites and are not responsible for their privacy statements. YCP strongly recommends you read the privacy policy of every website you visit.

YCP adheres to the principles set out in personal information and data protection law when handling personal information and data. These principles require personal information and data to be:

3.Collecting Information

YCP may collect, use, store and transfer different kinds of personal information and data about you. It collects and processes personal information and data about you when you:

  1. Access and use YCP’s website, social media, and YCP’s services.

  2. Register an account on YCP’s website or blog

  3. Leave a comment on YCP’s website, blog, or social media channels.

  4. Buy a product through YCP’s website.

  5. Make an enquiry about a particular product or service on YCP’s website.

  6. Submit a general enquiry to YCP’s website.

  7. Enter a competition on YCP’s website or otherwise with YCP.

  8. Subscribe to YCP’s digital newsletter.

  9. Leave your feedback or review on YCP’s website.

  10. Manage your marketing preferences with YCP.

  11. Make a payment through YCP’s website.

In addition to the other information mentioned in this policy, YCP may hold the following information about you:

  1. Name, address, telephone number(s)

  2. Date of birth

  3. Email address

  4. Occupation

  5. Transaction details (including banking details) associated with services we have provided to you

  6. Additional information provided by YCP to you

  7. Information you have provided to YCP via client surveys

  8. Interests listed on social media channels

YCP will not collect sensitive information about you such as your health information through our website or social media channels, other than what you submit via our enquiry form. 

YCP may also collect, use and share aggregated data such as statistical or demographic data. Aggregated data is derived from your personal data but is not considered personal data under data protection law as it does not directly or indirectly reveal your identity. For example, YCP may aggregate data about your use of YCP’s website to calculate the percentage of users accessing a specific feature. Likewise, YCP may aggregate data that it collects through your use of YCP’s website in order to produce certain benchmarking reports. However, if YCP combines or connects aggregated data with your personal data so that it can directly or indirectly identify you, YCP treats the combined data as personal data which will be used in accordance with this privacy policy.

This site may also collect Internet Protocol (IP) addresses.  IP addresses are assigned to computers on the internet to uniquely identify them within the global network.  The Company collects and manages IP addresses as part of the service of providing internet session management and for security purposes.  The Company may also collect and use web log, computer and connection information for security purposes and to help prevent and detect any misuse of, or fraudulent activities involving, this site.

If YCP proposes to collect information about you that you would not reasonably expect, you will be provided with “just in time” notice when that information is collected.

The information collected by us will be retained for 7 years, being no longer than is reasonably necessary for the purposes disclosed to you in this privacy policy and otherwise.

4.Access to Personal Information

You have the right to access, review, correct and alter any personal information that YCP stores about you. Should you wish to access this information please contact YCP’s privacy officer/ Practice Manager via the email address below.

To request to change or correct your personal information you must login to your account with your unique login and password via YCP website yarracitypsychology.com.au

If you would like to request for:

  1. specific pieces or categories of information which YCP has collected about you;

  2. the sources from which that information was collected;

  3. the purpose for which that information was collected; or

  4. deletion of any parts of your information held by YCP,

5.Opt-Out

By choosing to register on YCP website/blog or engage with our social media channels, you may receive information from YCP’s services, partner information and offers. YCP uses this method to communicate quickly with you. You have the right to refuse inclusion on a mailing list. You can make a request to remove your email address from a mailing list by contacting YCP’s privacy officer/Practice Manager at admin@ycp.net.au

YCP uses your email address, your mailing address and phone number to contact you regarding administrative notices, publications, and communications relevant to your use of YCP’s website, YCP’s services and products and your YCP account. If you do not wish to receive these communications, you have the ability to opt out by contacting YCP’s privacy officer/Practice Manager at admin@ycp.net.au.

Notwithstanding the opt-out option as set out in this policy, you have the right to opt-in at anytime by contacting YCP’s privacy officer/Practce Manager by email at admin@ycp.net.au

6.Cookies, log files, tags, and pixels

As part of the normal operation of YCP’s website, we automatically collect “Device Information”; this may include your type of device, your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site.

We collect Device Information using the following technologies:

- “Cookies” are data files that are placed on your device or computer and often include an anonymous unique identifier. Cookies enhance the website's functionality with features such as user login and electronic ordering. By itself, this cookie can only identify your computer to YCP’s server; it is not used to identify you personally. - “Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

- “Web beacons”, “tags”, and “pixels” are electronic files used to record information about how you browse the Site. Pixels allow social media sites to track visitors to outside websites so as to tailor the advertising messages users see while visiting that social media platform.

Your personal password to access YCP website/blog protects your privacy. We recommend that you do not disclose, share or reveal this password to any other individual.

7.Change of Purpose

From time to time, YCP may decide to collect different kinds of information. If and when this occurs, YCP will update this privacy policy, notify you and obtain your consent.

9.Security

Your information is stored on YCP Wix website/blog and the Kajabi Platform. While, it is important to recognise that "perfect security" does not exist on the internet, YCP is committed to using industry standard mechanisms to safeguard the confidentiality of your personal information such as firewalls, data encryption and Secure Socket Layers.  In addition, YCP has implemented reasonable security measures to detect fraudulent identity verification activity and to prevent unauthorised access to or deletion of personal information in order to minimise cybersecurity risk.

10.Credit Card Information

YCP does not permanently store credit card information including anywhere on YCP website. 

 

11.Consent / Opt-In

In accepting this privacy policy, you acknowledge and agree that:

  1. you consent to provide your personal information to YCP; and

  2. by providing your personal information to YCP that YCP, its related bodies corporate and partners and each of their officers, employees, agents and contractors are permitted to collect, store, use and disclose your personal information in the manner set out in this privacy policy and in accordance with Australian privacy and data protection laws.

12.Standards of Privacy

YCP has established internal policies and procedures (including an IT and cyber security policy; an information and data retention and disposal policy and a privacy complaint and investigation procedure) to administer this privacy policy and we provide awareness and training to our employees and privacy officers in relation to it. YCP updates such policies and procedures to maintain the integrity and standards required.
